Bulk Upload- Location Hierarchy Update

Highlights

Brief on important terms used 

1. temp_Zone – Existing Zone name available in the Field Assist Web Portal 

2. temp_Region - Existing Region name available in the Field Assist Web Portal 

3. Territory - Existing Territory name available in the Field Assist Web Portal 

4. Beat – Beat name available in the system along with respective outlets list 

5. Location GUID – System generated GUID for each outlet 

6. temp_Location – Outlet name that exists in the Field Assist Web Portal 

7. temp_Market Name - Existing market name available in the Field Assist Web Portal 

8. temp_Address - Existing address available for respective outlet in the Field Assist Web Portal 9. temp_City - Existing city name available in the Field Assist Web Portal 

10. temp_Location ErpId - Existing outlet ERPID available in the Field Assist Web Portal, this will  auto generated if the outlet is created using application 

Note – Please don’t make any changes to GUID as it will get impact on data of an outlet in the  Field Assist Web Portal. 

Make sure that the Beat and Territory are created and kept ready in the system before you run  Location Hierarchy Update process if you want those new beat and territory to be updated in  the place of old ones. 

Compulsory fields – Beat, Location GUID 

Bulk Upload File Checks 

Prelim Check – This is first stage of check where Field Assist Web Portal will read your uploaded file  for correct headers and Compulsory Headers Check [Location Guid, Beat]  

Passive Check – It is a second check which will start once the file is through Prelim check. 

Active Check - It is a third and final check which will start once the file is through both Prelim check  and Passive check. It will check for Location Guids, Beat, Territory

Location Hierarchy Update 

Click on Company Settings – Location Management (left side small arrow) – Bulk Upload (left side  small arrow) – Location Hierarchy Update 

1) Click on Location Hierarchy Update 

2) It will take you to Location Hierarchy Update page, Click on Download Button; automatically  Location Hierarchy Update template excel file will get downloaded 

3) Once you open the file, it will have Location Hierarchy updating headers with existing outlets  (Locations in Field Assist Nomenclature) in Field Assist Portal

4) You can Add the new Territory names in field name “Territory” respective to existing Beat  names if you would like to change in Field Assist Portal 

Note – The new Territory you add in the excel template should have the same region like the  old ones that you are going to replace 

5) You can also move the existing outlets to another beat by adding the new beat name in field  name “Beat” next to respective outlet names

6) After making the required changes in the excel template, save the file and upload it in same  page using Choose File Button 

7) Click on Upload Button to start the process

8) Once Pre Checks and Passive Checks are done, you will get message in green colour and click  on Continue Button 

9) Upon clicking the continue button, the Active check will start

10) To know the progress you have to click on Show Details Separately in each check 

11) After a success Active Check it asks your approval to start insertion process “Press Continue  for Insertion!!” in Green text 

12) Click on Continue button and to start the Insertion process

13) Once insertion is completed. You will get a message in Status Details and Message as  Insertion completed and You may logout

FAQ’S 

1) How can I update existing territory of a beat in Field Assist Portal? 

Answer- Go to Company Settings – Location Management (left side small arrow) – Bulk Upload  (left side small arrow) – Location Hierarchy Update. Where you will find option to Download  the excel template for Location Hierarchy, add the new territory name to respective beats details row and upload the same file in the page. And you have clear all 3 checks in bulk upload  for successful territory update. 

2) What I do if I get bulk upload update run time error? 

Answer – First you have to look at the error message that is displayed in the window and do the  required changes as per the error message. Then Save the file and upload the file again to start  the process. 

3) How do I check my progress while executing the bulk upload process in Field Assist Portal? 

Answer – You have to click on Show Details Separately text to see the progress of your  execution. 

4) How can I move the existing outlets to new beat from old ones in Field Assist Portal? 

Answer – Go to Company Settings – Location Management (left side small arrow) – Bulk  Upload (left side small arrow) – Location Hierarchy Update. Where you will find option to  Download the excel template for Location Hierarchy, add the new beat name to respective  outlets details row and upload the same file in the page. And you have clear all 3 checks in bulk  upload for successful update.
