ROUTE MANAGEMENT: 

(ROUTE PLAN) 


This module is used to Define the Route Plan for the field users of the company. This Module is also used to Shuffle Outlets between already defined routes. 


The following document will help you with the following Queries:- 

● How to create a plan? 

● How to Update a plan for a Field user? 

● How to update route-outlet mapping? 

● How to insert Route using Bulk Upload? 


To go to Route management, Navigate to the Company Settings 

Under Company Settings Locations Management Will unhide. 

Under location Management, Route Management will be visible


HOW TO CREATE A PLAN FOR A SINGLE FIELD USER? 


 

Click on the Company setting tab, employee management tab will unhide. 


Click on the arrow besides Employees management and further options will unhide. Click on Field User Management 


On clicking the following page opens up: 



Besides every Mobile App user, the Attach Route plan Option can be seen.

Click on the attach Route plan button 

On clicking the following Page opens up: 


● Select the Start date of any previous Monday. 

● Select the Effective date of tomorrow or any date greater than the current date. ● Note: Starting Week i.e. Week 1 is started from the start date. 

● Then select the frequency of the Plan, whether it is Weekly (7 Days), Fortnightly (14 Days), or Monthly (28 Days). 

● After Selecting frequency, scroll down below and 

select the type of working on a particular Week 

and Day. 

● After selecting appropriate working on that day 

let’s say Retailing, Select the Route which the User 

is going to visit on that day. 


The different working day types are defined below:


Type 

Details

Retailing 

If the user needs to do Retailing Individually

Joint Working 

If the user needs to do Retailing Jointly with the manager

Holiday 

If that particular day is a holiday, For example, National Holiday

Leave 

If the user Needs a leave. For Ex Sick leave

Weekly Off 

If the particular day falls on a weekly off



● Similarly, enter the complete plan for the User and Click Save Route Plan ● PLEASE NOTE: If the route does not appear then go to route management and add the route.


HOW TO UPDATE PLAN FOR A FIELD USER? 


Under Field user Management Under Company Settings, Search the User whose plan you want to Update and Click Attach Route Plan. 


Edit the plan of whichever day you want and change the Effective date for tomorrow and Click Save Route Plan.


HOW TO UPDATE ROUTE - OUTLET MAPPING? 

Go Company Settings> Location Management>Route Management>Route Outlet Mapping 

On clicking Route Outlet Mapping the following page opens up:


● On the above page select Routes between which you want to shuffle the Outlets. Type in the Route Name in both the text boxes on the left and the right. ● A list of Outlets will appear corresponding to the Route name mentioned in the text box. 

● Select the Outlets that you want to Copy or Move and click on the appropriate options given below and the mapping will be updated.


HOW TO INSERT ROUTE PLAN USING BULK UPLOAD? 

Under Company Settings -> Location management-> route management go to insert route. 


Once the Page opens up, Click the download button and the excel file will be downloaded. 

The following sheet opens up: 


Enter All the relevant information like Route Name, Shop name, Market as Desired by the company. Please note that this information has to be exactly in the same format and spelling as Defined in the system. To check for these Please Go to Location Management or refer to the Location Management Training Document. 

Route Name --, String[0-64] 

Location GUID --, String 

Route Erp ID --, String[0-32] 

Action --, NewMappingAction

Go to Location Management and then click on Bulk Upload and Select Location Hierarchy Update. 


Once the sheet is downloaded open the file 



Get the Location GUID from the Location Hierarchy sheet on the basis of Code/ERP Id. Use Vlookup to get it onto the INSERT ROUTE SHEET sheet. Please Note: If code/ERP Id is not present the get the GUID from the combination Shop Name+Market name+City+Address. 


Please Note: You can keep the Route Name & Route Erp Id same for now and Enter Attach in Action. 


Save the above sheet and upload the same in INSERT ROUTE under ROUTE MANAGEMENT to perform PreChecks.


After uploading, you’ll get a Continue option click on it to proceed to Active Check. 



Please Note: If there is an error in the uploaded Sheet, it will get highlighted below the Status Message. Rectify the error and reupload the file. 


Then click on Show details separately after a few minutes. 


Click Continue for Inserting the file.




Please Note: If there is an error in the uploaded Sheet, it will get highlighted below the Status Message. Rectify the error and reupload the file. 




Click on Show details separately again after few minutes, you’ll get the message that “Insertion has been completed”


HOW TO UPDATE ROUTE-OUTLET MAPPING? 


Download the Insert Route Sheet from Location Management>Route 

Management>Insert Route 

Sheet with Existing Route-Outlet mapping will get downloaded. 




Change the Route name and add Attach to add in the Route and Detach to remove the Outlet from the Route. 




Save the file after making the changes and then upload the same.


HOW TO UPLOAD ROUTE PLAN THROUGH BULK UPLOAD? 


Download the Route plan sheet by going to Location Management>Route management>Insert Route plan. 




A Sheet with the existing Route plan of the User will get downloaded. 




Enter all the relevant information according to the column names 

Get the Route GUID and User GUID from the User Details and Route Details sheet

Use VLOOKUP and get the information from these sheets to the required sheet.




Remove the Duplicate if any from the above sheet and Save the file and Upload it. As in the case of Insert Route, two checks will be performed when uploading. Click continue twice and the Route plan will be uploaded.
