Employee Management – Bulk Upload 



Highlights 

∙ How to enable Field User functionality for a user?

Brief on important terms used 


1. Field User – Enabling an application access to an user by enabling Field User field into TRUE 

2. Order Booking Allowed – Enabling Order booking functionality in the application for an user,  this is done enabling Is Order Booking Allowed field to TRUE 

3. Survey Zone – You can create survey and assign to certain users by assigning them a Survey  Zone 

4. GUID – It is auto generated system ID for all users, will be unique ID for each user 

5. HASHKEY – It is also auto generated system ID for all users, but it will change if we do any  edits or changes in the data of an user 

6. KRA Tag Name – Key Responsibility Area (A kind of target for users can be attached here) 7. Designation – Can be created and attached in this field 


Note – Please don’t make any changes to GUID, HASHKEY in the file as it will get impact on data of  a user in the Field Assist Web Portal. Keep these Field ID’s as it is and add the required data  corresponding to a user to be updated in the file and upload back the file into Field Assist Web  Portal for update.

Enable Field User and Order Booking option - Steps to be followed Click on Company Settings – Employee Management – Bulk Upload – Field User Update 

1) Click on Field User Update option


 

2) It will take you to Update Field User window

3) Click on Download button to get existing user data excel file from the Field Assist Web  Portal





    4) Make the required changes in the excel file to respective users and upload the same file for  update. Changes could be enabling Field User, Order booking option etc. 




    5) In order to enable Field User and Order Booking option to a user add True in those columns


PLEASE DON’T MAKE ANY CHANGES TO GUID and HASHKEY 

GUID – It is auto generated system ID for all users, will be unique ID for each user.  

HASHKEY – It is also auto generated system ID for all users, but it will change if we do any edits or  changes in the data of a user 

6) After inserting the data file into Field Assist Web Portal, please follow the steps as mentioned  below under heading “To upload the filed data file” and complete the bulk upload process

To upload the filed data file 

Brief on important terms used 

Prelim Check – This is first stage of check where Field Assist Web Portal will read your uploaded file  for correct headers, GUID and ID, valid data type (i.e. Decimal, Integer etc. as per respective field) 

Passive Check – It is a second check which will start once the file is through Prelim check. In Passive  Check it will check for data For FieldUser Erp Id, Valid User Type, if there is any mismatch in data it  will end up showing an error 

Active Check - It is a third and final check which will start once the file is through both Prelim check  and Passive check. It will check for Uniqueness for FieldUser Erp Id, Uniqueness for FieldUser Contact  Number. If all things are good it will proceed. 



Steps to be followed 


1) Save the excel file and upload in same Update Field User window 





2) Once the Pre Checks and Passive Checks Completed is through then Field Assist Web Portal  will ask to click on Continue Button to start Active Check as shown in below image



3) To know the progress you have to click on Show Details Separately in each check 




4) After a success Active Check it asks your approval to start insertion process “Press Continue  for Insertion!!” in Green text




5) Click on Continue button and to start the Insertion process 


6) Once insertion is completed. You will get a message in Status Details and Message as  Insertion completed and You may logout





To Update Survey Zone for employees in bulk 


1) Follow the above steps as mentioned in process of (Update Field User and Order Booking process) till downloading the Field user update file 

2) Then mention the Survey Zone for the employees, save the file and upload into Field Assist  Web Portal 




3) After inserting the data file into Field Assist Web Portal, please follow the steps as  mentioned above under heading “To upload the filed data file” and complete the bulk  upload process


How to make a User from SR to ISR (General Trade App to Modern Trade App user) 


1) By default a user will be mapped as SR type (General Trade application user in the Field  Assist Web Portal) however in your company if you have some merchandisers/promoters as  part of the sales team. Then in the field “User Type” change SR to ISR and update the file to  enable Modern Trade Application access to the users 




2) Even you can use Employee Management option to change the user (only for level1 users)  type to ISR. Follow the steps to do this Company Settings – Employee Management – Select  Level 1 employee hierarchy 




3) Select the respective user and click on Edit button, change the type SR to ISR in User Type  field and click on Submit button to make a change







Note – 


SR user type is used for General Trade  

ISR user type is used for Modern Trade


FAQ’S 


1) How to enable a Field user option for a user? 

Answer- To enable an application access to a user, you need to enable Field User field into TRUE using Field user bulk upload program. 


2) Can I activate or deactivate Order booking access for a user? 

Answer- Yes, of course you can do that. Just follow the steps mentioned in Field User update  bulk program process. 


3) Can I edit phone number of a user? 

Answer- Yes, you just need to go Company settings – Employee management – ESM  Management (as per employee hierarchy) and click on edit button to make the changes to  phone number. And even you can do in Field User Management option as well. 

4) How do I update KRA tags and Survey zones in bulk? 

Answer - To enable add these fields to a user; you have to use Field User bulk upload program. To get the clear steps kindly refer the heading “Field User and Order Booking option” and “To  Update Survey Zone for employees in bulk”
